MSC Governed Documents are Archived instead of Deleted. </div> </div> </div> <div class="panel panel-default"> <div class="panel-heading"> <h4 class="panel-title"> <a href="#collapse2" data-toggle="collapse" data-parent="#accordion"> Roles & Responsibilities</a> </h4> </div> <div class="panel-collapse collapse" id="collapse2"> <div class="panel-body">Each functional area is responsible for for the management of the content within their own document libraries, but Knowledge Mangement is responsible for correctly Archiving documents. Document Archiving is done per the request of the functional area to which it belongs.</div> </div> </div> <div class="panel panel-default"> <div class="panel-heading"> <h4 class="panel-title"> <a href="#collapse3" data-toggle="collapse" data-parent="#accordion"> Archiving Contact Response Documents (CRDs)</a> </h4> </div> <div class="panel-collapse collapse" id="collapse3"> <div class="panel-body"><p>Archiving CRD Wiki Documents</p> <ol> <li>The Document Archival Request is received via a ServiceNow Case assigned to <em>T2 KM Specialist.</em></li> <li>Navigate to KMS - CRD Wiki: <a href="https://communities.myascensionhealth.org/kms/CRDWiki/Forms/CRDFilters.aspx">https://communities.myascensionhealth.org/kms/CRDWiki/Forms/CRDFilters.aspx</a>.</li> <li>Select the Wiki that needs to be archived by expanding the appropriate Service Area, and open it by clicking on the link in the Name</li> <li>Check and remove any links referencing this document. <ol> <li>Click on the document name to open the CRD page.</li> <li>On the CRD page, click on the Page tab above the Ribbon, then click Incoming Links. This may take a momet, but you should eventually see all links referencing to this document.  These links should be removed from other documents before proceeding to archive the document.</li> </ol> </li> </ol> <p> </p> <ol start="5"> <li>Once links to the document have been removed, return to the CRD Wiki document list. Click the drop down arrow to the right of the document name and select Edit Properties.</li> <li>You will receive a pop-up message asking you to Check-Out the Item; Click OK.</li> <li>Add ARCHIVE - to the beginning of the Name of the Document.</li> <li>Add ARCHIVED – (DATE), per (ARCHIVAL REQUESTOR’S NAME) & ServiceNow Case (Number) to the Last Reviewed By</li> </ol> <p> </p> <ol start="9"> <li>Change the Update Schedule to Archived using the drop down menu.<br /> </li> <li>Save the Changes.<br /> </li> <li>Next, you will again select the document(s) individually. This time, select Manage Permissions - either from the drop down used in the previou step, or from the Ribbon (select ‘Document Permissions’in the Ribbon once document checkbox selected.</li> <li>Before stopping inheritance, permissions should look similar to this:</li> </ol> <p> </p> <p><br /> </p> <ol start="13"> <li>Click the <em>Stop Inheriting</em> button on the ribbon (do this individually for each document you want to Archive).</li> </ol> <p> </p> <p> </p> <ol start="14"> <li>Select all by clicking the checkbox at the top, then deselect the following groups: <em>Ascension Design</em>, <em>Ascension Health Global Administrators</em>, and <em>KMS Community Admins </em>by clicking the apprpriate checkboxes to the left of each.
